Cleared / Platform / Screening
Screening, included in every plan
Is every adult on your bench today cleared to be there?
Cleared reads every police record check and safe sport certificate, chases the people missing one, and fails their credential at check in until they fix it. The two requirements every sport in Canada now asks for, enforced instead of filed.
- Police record checkValid to 2028
- Safe sport trainingValid to 2028
Example people, real logic.
Your policy is fine. Nobody is checking it.
Risk tiers. Enhanced police checks. Vulnerable sector checks. Renewals every three years. The policy is the easy part.
Then it goes to a volunteer with a spreadsheet. Hundreds of documents a season arrive as phone photos, encrypted police PDFs and screenshots. The spreadsheet says compliant because a file exists. A compliance report nobody reads prevents nothing. Cleared turns the policy into a control.
The engine decides. People handle the exceptions.
Load your policy
Validity windows, accepted vendors, who is exempt. Configured once.
Read every document
Phone photos, HEIC files, encrypted police PDFs. Each gets a named verdict.
Chase on a ladder
Notices at seven, three and one day out that say exactly what to upload instead.
Enforce at check in
The credential is scanned before the game. Not cleared, not green.
A rejection that gets the right document back.
"Document rejected" gets a complaint to a board member. This gets a transcript.
Your document was rejected. Please upload a valid document.
You uploaded the payment receipt for your police check. It shows you applied, not the result. When the police service emails your result, upload that PDF here.
What comes with screening
Everything the sweep needs.
- The credentialOn the phone or in Apple Wallet. Carries identity, never a verdict, so a screenshot cannot vouch for anyone.
- Offline checksGyms have dead zones. Officials check from a signed status snapshot that expires after 24 hours.
- Zone and club dashboardsEach president sees their own people, who cannot be checked in and why, and nudges them in one tap.
- One person, one statusA coach in two zones is one human. Evidence from any registration counts once.
- Disclosure routingA criminal record disclosure goes to the one officer you name. Everyone else sees reviewed and referred.
- Audit logEvery decision, every document opened, every exclusion with a reason. Append only.
Questions.
What counts as cleared?
By default, a current police record check, including a vulnerable sector check where your policy requires one, and current safe sport training. Your policy sets the validity window, the accepted vendors and the exemptions, such as coaches under 18 not needing a police check.
Does Cleared run the police checks?
No. Your adults keep using the police service or vendor your policy accepts. Cleared reads the result they upload, decides whether it meets your policy and tracks when it expires. Staying out of the check keeps us neutral on vendors.
Which safe sport courses count?
Whichever your policy names. Respect in Sport for Activity Leaders, the Coaching Association of Canada Safe Sport Training module and provincial equivalents are all patterns Cleared already recognizes. Courses that look similar but do not qualify, such as a parent program, are named and sent back.
What happens when the AI is not sure?
It does not guess. The upload is kept, the person is told it is under review, and it goes to a human queue. A false rejection makes a good volunteer quit. A pending file costs a reviewer about ninety seconds.
Where does the check happen?
Wherever your policy puts it. Some organizations check at the pregame meeting, some at the gym door, some at a tournament desk. The credential and the scanner work the same in all three.
